At Boldly, AI is changing how our team of remote executive assistants do our work — without changing the heart behind who we are.
As a people company, we believe that AI tools can’t replicate the premium, human level of trust and care.
By leveraging the right AI tools, Boldly’s remote executive assistants can add efficiency, creativity, and productivity to everyday tasks. In short, letting technology do what technology can do best frees our team to focus on what only humans can do.
It’s important to note — one theme you’ll hear over and over in the videos below is that AI tools like ChatGPT are an excellent place to start but always require fact checking, fine tuning, and the due diligence of a real human.
When the Boldly team uses ChatGPT, they anonymize any information that might be identifiable to safeguard confidentiality. Furthermore, they work in partnership with their clients to ensure clients are aware of and have control over what ChatGPT is used for.
Here are a few real-world scenarios and ways that Boldly executive assistants are using AI in their work, from automating repetitive tasks to writing better emails.
Using ChatGPT… To Better Use ChatGPT
“I’ve actually asked ChatGPT what kind of help it can provide for executive assistant work and it’s told me what it could do. Or if I ever wondered, ‘Can ChatGPT transcribe a video?’ I’ll just ask it!”
Boldly Executive Assistant Lauren does “a little bit of everything” for her clients, taking on diverse tasks from typical executive assistance to vendor management, finance duties, and a few HR responsibilities as needed.
She uses ChatGPT to:
- Collect data and summarize information for board meetings
- Quickly create standard operating procedures (SOPs)
- Find/research locations and restaurants for client trips/travel
- Improve emails by asking ChatGPT to rewrite them in a more professional tone
Lauren’s ChatGPT advice to other executive assistants: Be as specific as you can when writing your prompts without getting overly complicated.

Brainstorm Blog Content + Social Media Captions
“Coming up with copy on my own can be time-consuming. ChatGPT saves me hours of time. Usually, I’ll start by asking ChatGPT to give me 10-30 suggestions. Then I’ll narrow it down to the ones that make the most sense. And then I’ll tweak those to be more in line with the organization’s voice and tone.”
Boldly Executive Assistant Marine support to clients in marketing and operations roles, assisting with everything from scheduling to workflow implementation.
Marine uses ChatGPT to:
- Brainstorm fresh ideas for blog posts, social media captions, and monthly newsletter copy
- Craft compelling email subject lines
- Proofreading and editing, ensuring that content is polished and error-free before publication
Marine’s ChatGPT advice to other executive assistants: When you first log in, ChatGPT will suggest questions at the bottom of the screen. Pay attention to what words they’re using and you’ll begin to understand how ChatGPT is going to best respond. If you can put more context or background along with the goal into the query, you’ll get a much better result.
Analyze Data + Create Travel Itineraries
“It’s really good for those amorphous or vague tasks where you’re looking for an assistant to help you break [a big project] down into pieces. I think it’s like an assistant for the assistant.”
Boldly Executive Assistant Katie provides executive assistant support to several CEOs across different industries and uses ChatGPT to:
- Conduct research and generate lists, such as finding experts in a certain field
- Plan first drafts of travel itineraries with niche interests and unfamiliar locations
- Communicate to vendors in other languages by using ChatGPT as a rudimentary translator
- Break down projects into smaller tasks by having AI recommend a project plan and timeline
Katie’s ChatGPT advice to other executive assistants: You can specify to ChatGPT how you’d like it to format its response. For example, it can reply with a table or a list.
Generate Transcripts + Create Reports
“I now have a report that’s complete and in the voice of my client, but I didn’t spend an entire day to write it. Instead, I only might have spent an hour or two.”
Boldly Executive Assistant Pauline provides operational and administrative support for her client exclusively in French.
Pauline uses ChatGPT to:
- Generate transcripts from recorded client meetings
- Streamline report writing by giving ChatGPT the transcripts, notes, and other documents from her client and instructing ChatGPT on the output she wants
- Outline and write a first draft of content for web pages
Pauline’s ChatGPT advice to other executive assistants: If you don’t like the output ChatGPT gives you, try refreshing it. Or ask ChatGPT to rewrite it. And if it’s really off base, I’ll give it more prompts and context to really zoom in on what I need.
More Learning As AI Tools Evolve
At Boldly, we’ve spent a lot of time learning how to thoughtfully leverage AI tools — double-checking the accuracy of any outputs and being extremely diligent in protecting our clients’ privacy.
Last year, Boldly hosted seven professional development trainings for our team, with several specifically dedicated to AI.
Along the way, we’ve encouraged our team to understand:
- How AI works and when to use it
- How to write better prompts
- How to evaluate AI tools, keeping in mind accuracy and privacy concerns
- How to keep experimenting!
… all with a healthy dose of due diligence to fact-check anything an AI tool provides.
